1.1 Information You Provide to Us

Account Information

When you create an account, we collect information such as your name, email address, organization name, phone number, and password. If you are an administrator for your organization, you may also provide information about your organization, including billing address and payment information.

Customer Data

As a platform for managing chamber memberships and sponsorships, you may upload or input data about your organization’s members, sponsors, events, and sponsorship opportunities (“Customer Data”). This may include names, contact information, company details, sponsorship history, payment records, and other information you choose to store in the Service.

Communications

When you contact us directly, we may receive additional information about you, such as the contents of your message, any attachments you send, and any other information you choose to provide.

Payment Information

When you make a purchase or subscribe to our Service, our third-party payment processor (Stripe) collects your payment card information. We do not directly collect or store your complete credit card numbers. We receive only limited information from Stripe, such as the last four digits of your card, card type, and billing address, to help us fulfill orders and detect fraud.

1.2 Information Collected Automatically

Log Data

When you access the Service, our servers automatically record information (“Log Data”), including your Internet Protocol (IP) address, browser type and version, operating system, referring URLs, pages viewed, access times, and other statistics.

Device Information

We collect information about the device you use to access the Service, including device type, unique device identifiers, operating system, and mobile network information.

3.1 Service Providers

We share information with third-party vendors, consultants, and service providers who perform services on our behalf, such as payment processing, data hosting, email delivery, analytics, and customer support. These service providers are authorized to use your information only as necessary to provide services to us and are obligated to protect your information.

3.2 Business Transfers

We retain your information for as long as your account is active or as needed to provide you with the Service. We also retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

Specifically:

  • Account information: Retained for as long as your account is active, plus a reasonable period thereafter for backup and archival purposes
  • Customer Data: Retained during your subscription and for 30 days after termination to allow for data export; thereafter deleted in accordance with our data retention schedule
  • Log Data: Generally retained for up to 12 months
  • Payment records: Retained as required by tax and accounting regulations, typically 7 years

We implement appropriate technical and organizational measures designed to protect the security of your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include:

7. Cookies and Tracking Technologies

7.1 What Are Cookies?

7.2 How We Use Cookies

11.3 Nevada Residents

12. Customer Data and Data Processing

When you use Chamberly to manage your organization’s member and sponsorship data, you act as the “data controller” (or equivalent under applicable law) for that Customer Data, and Chamberly acts as a “data processor” on your behalf.

As a data processor, we:

  • Process Customer Data only in accordance with your instructions and as necessary to provide the Service
  • Implement appropriate security measures to protect Customer Data
  • Assist you in responding to requests from individuals exercising their data protection rights
  • Delete or return Customer Data upon termination of your subscription, as described in our Terms and Conditions
  • Not use Customer Data for any purpose other than providing the Service to you

You are responsible for ensuring that you have the appropriate legal basis (such as consent or legitimate interest) to collect and process the personal information of your members and sponsors through the Service, and for providing any required notices to those individuals.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by updating the “Effective Date” at the top of this Privacy Policy and, where appropriate, by sending you an email notification or providing notice through the Service.
